- Salary: ₦350,000 – ₦500,000 per month
Position Overview
The Executive Assistant will provide comprehensive administrative and strategic support to the Managing Director, ensuring efficient management of schedules, communications, projects, and key business engagements. The successful candidate will serve as a trusted liaison between the Managing Director and internal as well as external stakeholders while maintaining a high level of professionalism and confidentiality.
Key Responsibilities
Calendar and Schedule Management
- Manage the Managing Director’s calendar and daily schedule.
- Coordinate meetings, appointments, and business engagements.
- Resolve scheduling conflicts and ensure adequate preparation time between activities.
- Keep the Managing Director informed and prepared for all engagements.
Communication Management
- Handle incoming calls, emails, and official correspondence.
- Prioritize communications and respond on behalf of the Managing Director when necessary.
- Draft, edit, and review business documents, reports, presentations, and letters.
Meeting Administration
- Coordinate executive meetings, board sessions, and client engagements.
- Prepare meeting agendas and distribute relevant materials.
- Record accurate meeting minutes and monitor follow-up actions.
- Track assigned tasks and ensure timely completion.
Travel and Logistics Coordination
- Arrange local and international travel plans.
- Book flights, accommodation, transportation, and related logistics.
- Prepare detailed travel itineraries and manage travel adjustments when required.
- Coordinate visa applications and travel documentation.
Stakeholder Engagement
- Act as the primary point of contact for clients, vendors, partners, and visitors.
- Represent the office of the Managing Director with professionalism and discretion.
- Maintain positive relationships with key stakeholders.
Project and Task Monitoring
- Track strategic initiatives, deadlines, and commitments assigned by the Managing Director.
- Follow up with departments and team members to ensure deliverables are completed on time.
- Provide regular updates on project status and pending actions.
Records and Expense Management
- Process expense reports and maintain financial records related to executive activities.
- Organize confidential documents and ensure proper filing systems are maintained.
- Keep important records secure and easily accessible when needed.
Event and Visitor Coordination
- Support the planning and execution of company events and executive engagements.
- Coordinate hospitality arrangements and visitor reception activities.
- Ensure guests and business partners receive a professional experience.
Confidentiality and Professional Conduct
- Handle sensitive business, financial, and personnel information with utmost confidentiality.
- Maintain professionalism and discretion in all interactions and communications.
Qualifications and Experience
- Minimum of three years' experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- High proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
- Exceptional attention to detail and problem-solving skills.
- Strong interpersonal skills and professional judgment.
- Ability to work independently and effectively under pressure.
- Demonstrated integrity and commitment to confidentiality.
Preferred Qualifications
- Previous experience within engineering, manufacturing, automation, controls, or other technical industries.
- Knowledge of travel management and expense reporting systems.
- Experience in project coordination or office administration.
Salary and Benefits
The successful candidate will receive a monthly salary ranging from ₦350,000 to ₦500,000, depending on qualifications and experience.
