Key Duties and Responsibilities
The successful candidate will work under the supervision of the UNIDO Representative and provide comprehensive administrative support to the country office. Core responsibilities include:
- Managing and prioritizing incoming correspondence, requests, and official communications.
- Preparing responses, reports, presentations, and administrative documents while ensuring compliance with UNIDO communication standards.
- Supporting project coordination by compiling data, conducting research, and maintaining project-related records.
- Providing administrative and financial assistance for Technical Cooperation activities, workshops, meetings, and evaluation missions.
- Handling procurement activities, petty cash transactions, payments, and liaison with local vendors and suppliers.
- Using SAP systems to process recruitment, travel, procurement, training, consultant management, and financial transactions.
- Maintaining office inventories, ICT equipment records, filing systems, and operational databases.
- Assisting newly recruited staff with onboarding and administrative orientation.
- Supporting budget monitoring, financial resource tracking, and project portfolio management.
- Collaborating with UN agencies and inter-agency coordination teams when required.

Educational Requirements
- Completion of higher secondary education, high school diploma, or equivalent qualification.
- Additional administrative, clerical, or secretarial training will be considered an advantage.
Experience Requirements
- At least seven (7) years of relevant administrative or office support experience.
- Candidates with a university degree or higher require a minimum of five (5) years of relevant work experience.
- Experience working with SAP or similar ERP systems is desirable.
- Previous experience within the United Nations system or multicultural organizations is an added advantage.
- Strong proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook is required.
Language Requirements
- Fluency in written and spoken English and Spanish is mandatory.
- Knowledge of additional United Nations official languages will be an advantage.
Salary Information
The indicative minimum net annual salary for this role is USD 22,559.
