Job Title: Documentation & Logistics Officer

Job Overview

The Documentation & Logistics Officer will oversee daily dispatch activities, coordinate transportation processes, maintain logistics documentation, and ensure compliance with operational and regulatory requirements. The role requires strong attention to detail and the ability to manage logistics operations efficiently in a fast-paced production environment.

The successful candidate will work closely with production, warehouse, quality assurance, and logistics partners to ensure timely delivery and accurate inventory tracking.


Key Responsibilities

Dispatch & Transport Coordination

  • Plan daily dispatch schedules based on production output.
  • Arrange transport vehicles for product deliveries.
  • Supervise loading operations and verify dispatch accuracy.
  • Monitor delivery timelines and resolve logistics challenges.

Documentation Management

  • Prepare and verify delivery documentation including invoices, gate passes, packing lists, and delivery challans.
  • Maintain batch traceability records for finished goods.
  • Ensure compliance with regulatory and documentation standards.
  • Maintain proper audit and inspection records.

Logistics Reporting & Monitoring

  • Prepare daily, weekly, and monthly logistics reports.
  • Track freight expenses and logistics performance indicators.
  • Maintain transport agreements and operational records.

Inventory & Coordination Duties

  • Maintain finished goods inventory records.
  • Coordinate stock reconciliation with warehouse teams.
  • Monitor pallet and packaging material movement.
  • Conduct periodic stock audits.

Educational Qualification

  • Bachelor’s Degree in Commerce, Business Administration, Logistics, or Supply Chain Management
  • OR Diploma in Logistics & Supply Chain Management

Experience Requirements

  • 6 – 8 years experience in logistics, dispatch, or documentation roles.
  • Experience within FMCG, beverage, or bottled water manufacturing industry.
  • Hands-on experience managing transport coordination and regulatory documentation.

Required Certifications

  • Supply Chain or Logistics Management certification.
  • ERP or SAP training certification.

Key Skills & Competencies

  • Strong logistics and supply chain knowledge.
  • Advanced Microsoft Excel and ERP system proficiency.
  • Understanding of warehouse operations and inventory reconciliation.
