Role Summary
The Team Assistant will provide comprehensive administrative and operational support to staff within the Risk Management and Office of the CEO (OCEO) divisions. The role involves managing documentation, coordinating meetings and travel arrangements, supporting procurement processes, and ensuring efficient handling of confidential information.
Key Responsibilities
- Maintain structured documentation and filing systems across supported divisions.
- Coordinate meetings, conference calls, and logistical arrangements.
- Handle confidential information and implement efficient records management processes.
- Manage travel arrangements including accommodation, visas, and logistics using AFC SAP Concur software.
- Provide secretarial support including scheduling, transcription, and document preparation.
- Support the organization of divisional events.
- Coordinate procurement of office supplies in collaboration with Administration and IT teams.
- Maintain updated contact lists and distribute team-related documents.
- Record meeting minutes and prepare official correspondence.
- Respond to non-technical internal and external inquiries.
- Maintain stakeholder and project databases.
- Manage vendor-related feedback and subscription payments.
- Perform additional administrative duties as required.
Requirements
- Bachelor’s Degree in any discipline.
- Minimum of three (3) years’ experience in an administrative role.
- Experience supporting multiple team members within an organization.
- Proficiency in Microsoft Office tools.
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- High attention to detail.
- Ability to maintain confidentiality and professionalism.
- Strong written and verbal communication skills.
- Team-oriented mindset with the ability to work under pressure.
