Role Summary

The Store Manager – Issuing is responsible for overseeing all material issuing operations to production, maintenance, and site projects. The role ensures timely issuance, proper documentation, and effective control to support smooth plant operations while minimizing stock losses and misuse.

Key Duties and Responsibilities

  • Manage daily material issuance to production, maintenance, and contractors per approved requisitions and work orders.
  • Verify requisitions for authorization, specifications, and stock availability; escalate any discrepancies.
  • Ensure accurate picking, kitting, and staging of materials while maintaining FIFO/FEFO discipline.
  • Supervise and train the issuing team, including rostering, performance appraisals, and coaching on correct parts handling.
  • Conduct regular physical checks of issuing points and satellite stores, reconciling differences with central stores records.
  • Prevent theft, pilferage, and unauthorized issuance through strict access control, CCTV oversight, and proper sign-off procedures.
  • Support preventive stock level reviews and recommend adjustments based on consumption trends.
  • Use ERP/WMS systems to issue materials and maintain accurate documentation for auditing purposes.
  • Control critical spares and high-value item issuance with proper approval matrices.
  • Collaborate with Planning and Maintenance teams to prioritize urgent breakdowns and expedite material issuance when needed.

Key Performance Indicators (KPIs)

  • Percentage of on-time material issues to Maintenance/Production.
  • Accuracy of issued materials (picked vs requested).
  • Number of unauthorized or unapproved material issues.
  • Rate of stockouts for critical spares.

Requirements

  • Bachelor's Degree or HND in Logistics, Supply Chain, Mechanical/Electrical Engineering, or related discipline.
  • Minimum of 5 years stores/issuing experience in heavy industry; cement or large manufacturing experience preferred.
  • Hands-on experience with ERP stores modules and material issue workflows.
  • Strong process discipline and accountability.
  • Numerical accuracy and record-keeping skills.
  • Ability to prioritize and manage emergency material demands.
  • Good knowledge of spare parts identification and technical reading of parts.
  • Customer-service orientation towards internal stakeholders (production/maintenance).
